How to Set Up Your GUESTPIX Event Gallery: Step by Step

Setting up your GUESTPIX event photo gallery takes just a few minutes and you only need to do it once. From the moment you purchase, you will have a private online gallery with a unique QR code that guests scan on the day with no app download or registration needed. This article walks you through every step from your welcome email to having your gallery ready to share.

Step 1: Check your inbox After purchasing, you will receive a welcome email from GUESTPIX with a link to your host dashboard. If you do not see it within a few minutes, check your junk or spam folders.

Step 2: Complete your Onboarding Select the onboarding link in your welcome e-mail, this takes you through to create your account and will ask you some details about your event (this only takes a couple of minutes).

Step 3: Enter your event details Add your event name, date, and location. You can also upload a welcome photo or short video that guests see when they first open the gallery. This is the first thing guests see when they scan your QR code so it is worth taking a moment to personalize it.

Welcome image tips by event type:

  • Weddings - An engagement photo or save-the-date image works beautifully here
  • Parties and birthdays - A fun photo of the guest of honor or a welcome video sets a great tone
  • Vacations - A destination photo or itinerary image gets the group excited before the trip

Step 4: After onboarding is completed, you will be directed through to your Host Dashboard (this is your admin area). From here, you can find your QR code and Magic link to share as well as your GUESTPIX features such as the slideshow, manage settings, Canva templates, manage co-hosts and customize the look of your gallery and much more.

Step 4: Customize the look of your gallery If you are on the Signature, Luxe, Large or XL package, choose from 20 gallery design themes (or select your own colors using the color wheel tool) to match your event aesthetic. Classic package galleries use the default GUESTPIX design theme. See Design Themes for the full range.  

Step 5: Create your event albums Set up albums to organize your photos and videos by moment, session, or group. Each album gets its own QR code. See "How Do GUESTPIX Event Photo Albums Work?" for a full walkthrough. To note, albums is only included in selected packages.

Step 6: Create your stationary designs: Your unique QR code is automatically generated and ready in your host dashboard to download. From your dashboard, you can also find our range of Canva templates as a head start for your stationary and printed designs. Each template includes instructions of how to place your QR code on the templates and how to download/ print your designs. To note, we do not handle the printing side, you can download your Canva design and have printed using a commercial printer, at home or using Canva's printing services.


Your gallery goes LIVE 2 weeks before your event date as some bonus time so you can test your QR code and and make sure everything looks right prior to your event.
